Gym operations guide: connect attendance, payments and renewals
A useful software demo follows a real member through your gym. This guide shows the daily workflows to review with your reception team, trainers and owner before choosing a setup.

Biometric attendance: check membership status at entry
Begin with a member who has an active package. Register the member, connect the supported biometric device and record a check-in. Review where the check-in appears and which staff member can see the attendance history.
Repeat the process with an expired or unpaid membership. Confirm the access rule you want, who can override it and how reception handles an exception. Device compatibility and access behavior should be confirmed using your model and proposed integration.
- List device model numbers, entrances and branches.
- Agree which membership states should permit entry.
- Test active, expired and renewed memberships during the demo.
- Confirm the fallback process if a device or connection is unavailable.
Membership renewals: keep dates, payments and access aligned
Write down the package durations you sell and how your team calculates start and expiry dates. For a renewal, confirm whether the next package begins immediately or after the current package ends. Test the result against an example from your own member records.
Use an expiring-members view to plan follow-ups. After recording payment, check that the member's package status, receipt and attendance eligibility reflect the renewal. Review installment or split-payment requirements with sales before selecting a plan.
Ask the owner which report should show collected payments and which should show outstanding amounts. Keeping those questions separate helps your team reconcile actual receipts.
Gym POS billing: reconcile memberships and retail sales
A gym may collect membership fees, personal training payments and sales of supplements or cafe items. Walk through each type of transaction and check which receipt details your business needs.
- Record a sample membership payment and a retail sale.
- Check the member, item, amount and payment details on each receipt.
- Review who may correct a transaction and how that correction appears in reports.
- Compare the daily sales report with the amounts actually collected.
Bring your printer model and any required tax or accounting fields to the demo. Ask the team to confirm the supported integration and any additional setup in your quote.

WhatsApp reminders: connect the message to a useful action
Choose the event that should trigger a message: an upcoming expiry, a recorded payment or a completed renewal. Keep the message clear about the member's next step and make sure your team can handle the reply.
Before enabling automation, confirm the sending number, the proposed messaging integration, notification allowances and any extra charges. Review how recipients opt in and how the team handles a request to stop messages.
Test a reminder with a staff member before enabling it for members. Check the member name, expiry date, contact details and timing. Review message delivery separately from renewal payments so your team can see what actually happened.
Multiple branches: decide who can see and change each record
List your branches and staff roles before reviewing permissions. A receptionist, trainer, branch manager and owner may need different views of members, sales and reports.
Test whether staff can see only the intended branch and whether the owner can review the required combined reports. If members may attend more than one location, explain the access policy and ask the team to demonstrate the proposed setup.
Confirm how branch count, staff access and integrations affect the package and quote. Agree a rollout checklist that covers member data, package setup, staff training and a trial of the daily reconciliation process.
